    The inventory is fully integrated with production, sales and purchasing processes. Every time a production task, a picking order or reception order is completed the inventory is automatically updated making it very easy to maintain. Plants availability can be reported in the field using our mobile app.

  • Lots

    Back

    A Lot is a group of the same plants which are ready on the same date and have the same scheduled tasks and resources.

    View Lot Details:

    To view a specific lot detail simply click on the lot you want to see.

    • Lot number: Unique identifier for each individual lot.
    • Organizational Unit: Individual company branch.
    • Resource: Resource of type plant which populates this lot.
    • Ready date: Date when the lot is ready for sale.
    • Start Week: Scheduled potting date.
    • Ready week: Ready date converted to Year/Week format.
    • Planned Quantity: Production planned quantity. Goal or objective.
    • Potted Quantity: Actual Potted quantity across all locations (Sum of all locations for a specific lot).

    Edit Lot:

    To edit a lot first click on the specific lot you want to edit, then click on the EDIT button.

    • Lots cannot be Edited if they have a potted quantity.

    After clicking on EDIT, make the changes then simply SAVE or CANCEL those changes.

    View Lot Locations:

    To view lot locations click on the specific lot, then click on “Lot Locations”. This will show the different locations for a lot within the Organization Unit.

    View Lot’s Tasks and Resources:

    The “Tasks and Resources” field shows the different scheduled tasks and resources needed for a specific lot.

    To view a lot’s Task and Resources simply click on the specific lot, then click on “Tasks and Resources”.

    Edit Lot’s Tasks and Resources:

    To edit a lot’s tasks and resources follow the step above, then click on EDIT. After that you can add a new task or delete the current task. Finally SAVE or CANCEL the changes.

  • Settings

    The settings page is designed to help our users customize and configure every aspect possible of their business.

    In this page users are able to edit information about their company like Organizational Units, Physical Locations, Persons and their roles, Plants and Resources, amongst others.

    To edit or view a specific field simply use the dropdown menu.

  • Company Information

    Back

    The Company Information section contains the company’s name, address, and email, amongst other details.

    Fields Outline:

    • Company Name: Defines the name by which a corporation wants to be identified.
    • Email: Email associated with the company.
    • Street Address: Defines the address of the company.
    • City: City where company is located.
    • State: US State where company is located.
    • Country: Country where company is located.
    • Phone: Phone number associated with the company.
    • Fax: Company fax.
    • Is Shipping cost taxable?: Defines if the shipping cost is taxable for a particular company.
    • Sales Rep Commission Base: Defines the commission base for sales representatives.
      • ‘Sales minus buy amount’ or ‘Gross sales product’.
    • Website: Website associated with company, if exists.
    • Logo URL: URL for images that will be embedded in the company’s paperwork like invoices.
      • (If you need to host a logo, please contact our Technical Support Team with all required images).

    Edit Company Information:

    To Edit the Company’s Information simply click on the Edit button and update the fields. Once done with the changes click on the Save or Cancel button.

    • BOL stamp URL: URL for images that will be embedded in the Bill of Lading document (The system allows up to 6 different agency stamps. Please see image below)

  • Organizational Units

    The section Organizational Units stores the independent company branches. These branches are completely independent from each other, although they belong to the same company.

    Add Organizational Unit:

    To add an Organizational Unit simply click on the Add button and complete the fields necessary.

    Fields Outline:

    • Name: Name of organizational unit.
    • Allow Sales Rep Select Provisioning Location: Defines if sales representatives can assign the provisioning Packing House to all sales orders.
    • Allow Sales Rep Select Packaging: Defines if sales representatives can select packaging details for every sales item.
    • Allow Sales Rep Select Delivery Method: Specifies if sales representatives can define the delivery method for every sales order.
    • Show Sales Order Qty in Detailed Pulling Report: If checked, shows the original sales item quantity when printing the detailed pulling report.
    • Allow Sales Rep Change Shipping Date: If checked, allows sales representatives to change the shipping date.
    • Auto Populate Inventory Availability: If checked, disables the sales availability feature. All quantity in Inventory Stocks are available for sales automatically. Inventory management department does not set when the plant is available.
    • Keep Resource Cost: If checked, disables the auto-calculation cost based on every bill of materials). The cost of every resource is kept across the system and it has to be defined manually in the resource table.
    • Reserved Inventory Timeout: Defines how long the goods are reserved when you create a pulling report.
    • Reserved Availability Timeout: Defines how long the sales availability is reserved for every Sales Order in Draft status.
    • Time Zone: Time zone where the organizational unit is located.
    • Metrics Check Time (Lead time 5min): Defines when the automatic process, that generates all scheduled tasks, is triggered. If you need to run this process now, the system has a lead time of 5 min. Example: If it is 10.00am and you need to force the automatic process, you have to type at least 10.05am and the system automatically will trigger the process at that time.
    • Spray Base Quantity: Capacity definition for Mix concentration in water when spraying. Example: for 100 gallons, type 100.
    • Spray Base Quantity UOM: Unit of measure for Capacity definition of Mix concentration in water for spraying. Example: gallon, liter.
    • Area UOM: Base unit of measure used to define physical location areas. Example: Acre, Square Meter, Hectare, etc.
    • Organizational Units can also be filtered by Archived or not Archived.

  • Physical Locations

    The Physical Locations section defines the different locations for a particular company including the Farms, Bays, and Greenhouses.

    Add Physical Location:

    To add a physical location simply click on the Add button and fill out the details including Name, Physical Location Type and Area size.

    Physical location types are arranged in a hierarchical structure where children cannot be bigger than its parents.

    • Zone
      • Farm (This level is the most important in the structure, because it has teamwork and the address)
        • Area
          • Bay

    Fields Outline:

    • Name: Name of physical location.
    • Barcode: Unique identifier for a physical location.
    • Physical Location Type: Defines the type of physical location (Zone, Farm, Area, Bay).
    • Organization Unit: Defines the organizational unit where the physical location is.
    • Area: The extent or measurement of the physical location.

    Add Team Work:

    Physical Locations can also have children within them, including multiple farms, greenhouses, or bays.

    It is important to note that at the Farm level, ‘Team Work’ can be assigned to all farms. This Team Work can be selected from the list of ‘Person Groups’ and can have any lable.

    Add a child:

    Add a child using the ‘Add child’ button and filling out the fields. Then simply Save or Cancel the changes.

    Current children can also be edited to change their name, organizational unit, or area.

  • Storage Locations

    The Storage Locations section defines the different locations to store resources, not including locations at the field like greenhouses or uncovered zones used for growing. In a storage location users cannot perform production tasks, they are only able to receive and deliver inventory stocks. These locations can include warehouses, packing houses and shelfs.

    Add Storage Location:

    To add a storage location simply click on the Add button and fill out the fields, which include the Name, Storage Location Type, and Address. Then simply Save or Cancel the changes.

    Fields Outline:

    • Name: Name of storage location
    • Type: Defines the type of warehouse.

    • Virtual: Used for virtual locations like trucks.
    • Organizational unit: Defines the organizational unit where the storage location is.
    • Teamwork: Defines what teamwork can perform inventory operations in this location.
    • Address: (optional) Defines the address of the location.
    • City: (optional) Defines the city address.
    • State: (optional) Defines the state address.
    • Zip Code: (optional) Defines the zip code.
    • Country: (optional) Defines the country.
    • Location: (optional) Defines the physical location where the storage location is located (if needed).

    Add Team Work:

    It is important to note that at the Warehouse level, Team Work can be assigned to all Warehouses. This Team Work can be selected from the list of ‘Person Groups’ and can have any label.

    Add a child:

    Add a child using the Add child button and filling out the fields. Then simply Save or Cancel the changes.

    Current children can also be edited to change their name and type.

    Fields Outline:

    • Name: Name of child location.
    • Type: Type of child location.

  • Person Types

    The Person Types section contains all of the different person types that a specific company has. EX: Sprayer, External Worker, Driver, etc. These fields are completely customizable and can be as simple or as complex as one wants.

    The Person Types are used later on to set up the Person Fields section. Each Person Field is going to have a certain amount of Person Types associated with it.

    Add Person Type:

    To add a Person Type simply click on the Add button and write the desired name for that Person Type. Finally Save or Cancel the changes.

    Fields Outline:

    Name: Desired name for Person Type.

  • Person Groups

    The Person Groups section describes the different teams that a company wants to define. A team is a group of person types associated together in a work or activity.

    Add Person Group:

    To add a person group just click on the Add button and fill out the fields. Then simply Save or Cancel the changes.

    Fields Outline:
    • Name: Person Group name.
    • Type: Customizable Person Group type.
    • Pin: Unique identifier for each Person Group.
    • Manager: Assigned manager in charge for a specific Person Group.
    • Supervisor: Assigned supervisor for a specific Person Group.
    • Labors: Labors assigned to a specific Person Group.

    Edit Person Group:

    To edit a specific person group simply click on the Edit button and make the desired changes. Then simply Save or Cancel the changes.

    The Person Fields section defines the different fields that a Person Type may have. Ex: SSN, Address, etc.

    Fields Outline:
    • Name: Desired field name.
    • Person Types: Person Types who are going to have this field.
    • Required: Defines if the field is required or not.

    Add Person Field:

    To add a Person Field simply click on the Add button and fill out the desired information. When finished simply Save or Cancel the changes.

    The Sizes section contains the Description of containers which specifies their size and weight.

    Add a Size:

    To add a new Size just click on the Add button and fill out the desired fields. Then simply Save or Cancel the changes.

    • Code: Any identifier that further specifies the type of container.
    • Description: Description of container.

    The Containers section defines the description of a container, including the Size, Unit Of Measure, and Volume.

    Fields Outline:
    • Description: Description of container.
    • Size: Size of container.
    • UOM: Unit of Measure of container.
    • Sq Ft: Square Feet of container.
    • Volume: Volume of container.

    Add a Container:

    To Add a container just click on the Add button and fill out the desired fields. Then simply Save or Cancel the changes.

  • Colors

    The Colors section describes the different colors that plants may have.

    Add a Color:

    To add a new Color just click on the Add button and fill out the field. Then simply Save or Cancel the changes.

    Fields Outline:
    • Name: Color name.

  • Genuses

    The Genuses section describes the different genuses that plants belong to.

    Add a Genus:

    To add a new Genus just click on the Add button and fill out the field Name. Then simply Save or Cancel the changes.

    Fields Outline:
    • Name: Genus name.

  • Species

    The Species section describes the different species that plants belong to.

    Add a Species:

    To add a new Species just click on the Add button and fill out the fields. Then simply Save or Cancel the changes.

    Fields Outline:
    • Name: Species name.
    • Genus: Genus which that Species belongs to.

  • Varieties

    The Varieties section describes the different varieties of plants.

    Add a Variety:

    To add a new Variety just click on the Add button and fill out the fields. Then simply Save or Cancel the changes.

    Fields Outline:
    • Name: Variety name.
    • Genus: Genus which that Variety belongs to.
    • Specie: Specie which that Variety belongs to.

  • Plants

    The Plants section describes the different colors, genuses, species, and varieties of plants.

    Add a Plant:

    To add a new Plant just click on the Add button and fill out the fields. Then simply Save or Cancel the changes.

    Fields Outline:
    • Name: Scientific plant name.
    • Common Name: Common plant name.
    • Genus: Genus which that plant belongs to.
    • Specie: Specie which that plant belongs to.
    • Variety: Variety which that plant belongs to.
    • Hardiness: Hardiness of plant (Annual, Perennial).

  • UOM Types

    The UOM Types section contains the different Unit of Measure Types which a company may have.

    Fields Outline:
    • Name: Name of UOM Type
    • Primary UOM: Primary Unit of Measure
  • Unit Of Measures

    The Unit Of Measures section contains the different Unit of Measures which will be used throughout the company.

    Add a Unit of Measure:

    To add a Unit of Measure simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Code: Unique identifier for that Unit of Measure.
    • Name: Name of Unit of Measure.
    • Type: Type of Unit of Measure.
    • Primary UOM: Primary Unit of Measure which it belongs to.
    • Conversion To Primary: Ratio of conversion.
  • Resource Categories

    The Resource Categories section contains the different categories of resources which will be used throughout the company.

    Add a Resource Category:

    To add a Resource Category simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Name: Name of Resource Category.
    • Type: Type of Resource Category.
    • Expiration Days: Resource Category expiration days.
    • Purchase Strategy: On Demand, or Just in Time.
  • Resource Groups

    The Resource Groups section contains the different groups of resources which will be used throughout the company.

    Add a Resource Group:

    To add a Resource Group simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Code: Unique identifier for Resource Group.
    • Name: Name of Resource Group.
  • Reasons

    The Reasons section contains all of the reasons that will be used later on when there is a production loss, inventory stock adjustment, purchase order change, etc.

    Add a Reason:

    To add a Reason simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Description: Description of Reason.
    • Reason Category: Category of Reason.
  • Reason Categories

    The Reason Categories section contains the different categories which Reasons may belong to.

    Add a Reason Category:

    To add a Reason Category simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Description: Description of Reason Category.
    • Reason Type: Type of Reason Category.
  • Chemical Active Ingredients

    The Chemical Active Ingredients section contains all of the chemical active ingredients that will be used later on for things like spraying and pest control.

    Add a Chemical Active Ingredient:

    Fields Outline:
    • Code: Unique identifier of Chemical Active Ingredient.
    • Name: Name of Chemical Active Ingredient.
    • Re Entry Interval: Re Entry Interval in Hours.
    • Keyword: If needed, keyword for Chemical Active Ingredient (EX: Caution, Warning, etc).
    • EPA Code: EPA Code for Chemical Active Ingredient.

    • Name: Name of device.
    • Pin: Device pin.
    • Organization Unit: Organizational unit device is linked to.
    • Team: Team associated with this device.
  • Delivery Methods

    The Delivery Methods section contains the different delivery methods which the company will use.

    Add a Delivery Method:

    To add a Delivery Method simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Name: Name of delivery method.
  • Freight Payments

    The Freight Payments section contains the different fright payments which the company will use.

    Add a Freight Payment:

    To add a Freight Payment simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Name: Name of freight payment.
  • Carriers

    The Carriers section contains the different carriers which the company will use.

    Add a Carrier:

    To add a Carrier simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Name: Name of carrier.
    • SCAC Code: The Standard Carrier Alpha Code (SCAC) is a unique two-to-four-letter code used to identify transportation companies.
    • Type: Carrier type.
    • Shipper Number: Unique identifier of shipper.
    • Street Address: Main street address of carrier.
    • Street Address 2: Secondary street address of carrier.
    • City: City address of carrier.
    • Zip Code: Zip code address of carrier.
    • Country: Country of carrier.
    • State: Sate of carrier.
    • Phone: Carrier’s phone.
    • Fax: Carrier’s fax.
    • Email: Carrier’s email.
  • Carrier Types

    The Carrier Types section contains the different carrier types which the company will use.

    Add a Carrier Type:

    To add a Carrier Type simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Name: Name of carrier type.
  • Services

    The Services section contains the different services which the company offers.

    Add a Service:

    To add a Service simply click on the Add button and fill out the fields. After that, just Save or Cancel the changes.

    Fields Outline:
    • Code: Unique identifier of service.
    • Name: Name of service.
    • Price: Price for service.
    • Taxable: If service is taxable or not.
    • Discount Allowed: If discount is allowed or not.

  • Entering supplier receipts

    This explanation is for the US, Canada, Europe, South America and South Africa. Maybe in other countries you can work in a different way. If you have a different procedure for entering suppliers receipts, just let us know and we can create a special feature.

    You have to complete two steps at two different moments of time:

    • Create a purchase order for a supplier
    • When the items arrive to the company, create an Inventory Receiving for this purchase order

    Create a Purchase Order.  

    Purchases-> Purchase Orders-> Add Button

    (This is like a purchase request to a vendor). This purchase order can be exported to the Accounting system for its payment or send to the supplier in PDF format.

    Add items, quantity and purchase price, when you finish, press Save button

    When you save your purchase order, you can print it or download it and send it to the vendor.

    Entering supplier receipt when items arrive

    When the items arrives to the company (Warehouse, Greenhouse or Open bed, it depends on what kind of items you purchased)

    Create an inventory receiving 

    Inventory->Movement-Inventory Receivings-> Add Button

    Select the purchase order, type in the receipt number, select the destination. When you complete the receiving form, you will see all pending items to receive

    Now you have to locate every item in their correct storage location. Select every item and put them in a section

    1- Select the line item
    2- Press Add button for a new item receiving
    3- Select the final section in warehouse or greenhouse
    4- Type in the receiving quantity (the receiving could be total or partial, such as you can create a big purchase order in January and make partial receivings every month)
    5- Repeat the same steps for every purchase order item

    When the Receiving is completed with all final destinations, you can press Save(as a draft) or Save and Apply. This action will increase your inventory stocks. Now you can print the Receiving ticket (if needed)

    Now let’s verify the generated inventory movements

    Inventory -> Activity -> Inventory Stocks

    Filter by Resource Name for quick search and verify stock quantities

    If you want to see the Stock card movements

    1- Select the inventory stock item
    2- Press Print button and you will see all print options
    3- Select Stock Card PDF (or HTML for preview)

    See the Stock card with all details. In this case we have just only one movement, but here you will have all inventory movements for this Inventory Stock item (Purchases, Dispensations, Adjustments, Transfers and so on)
